Smart lists that run your morning
Build the saved segments that turn a messy database into a daily operating rhythm: who to call, who to chase, who is going cold.
- 1
Understand the mechanics
In Contacts, apply filters (tags, fields, activity, DND state), then save the filter set as a smart list. Lists update live as contacts qualify in and out.
- 2
Build the daily eight
Start with: New leads (created last 24h), Engaged this week (replied or clicked), Going cold (no activity 14 days, still open), Hot list (score or tag based), Unanswered conversations, DND suppression, Clients, and This month’s birthdays if you use them.
- 3
Order the columns
Configure each list’s visible columns for its job: the call list shows phone and last activity; the chase list shows stage and days since contact.
- 4
Anchor the morning routine
The team opens New leads and Unanswered first, every day. A list that is not part of a routine is furniture.
- 5
Prune quarterly
Delete lists nobody opens. Ten lists people use beat forty that exist.
Do it with Claude
Claude can replicate any smart list logic ad hoc through MCP searches ("open deals with no touch in 14 days") and can tag the results so your list picks them up.
Watch out for
- Filters on inconsistent tags, so the list silently misses half its audience.
- Building lists around fields nobody fills in.
