Booking calendar setup, end to end
Create a calendar that books real appointments: correct availability, sane buffers, an intake form that qualifies, and confirmations that reduce no-shows.
- 1
Connect the personal calendar first
The team member syncs Google or Outlook under their profile (My Staff, then the user’s calendar settings) so existing events block GHL slots and GHL bookings appear on their calendar.
- 2
Create the calendar
Calendars, then Calendar Settings, then Create Calendar. Pick the type that matches reality: personal booking for one host, round robin for a team.
- 3
Configure the slots
Set duration (30 min is the workhorse), buffer after meetings (15 min saves sanity), slot interval, minimum scheduling notice (2 to 24 hours prevents surprise bookings), and max bookings per day.
- 4
Set availability honestly
Office hours in the account timezone. If the host has a standing Tuesday commitment, block it here, not in their head.
- 5
Build the intake form
Collect full name, email, phone (all required), plus one or two qualifying questions. Every extra field costs bookings; only ask what changes how you run the call.
- 6
Turn on confirmations, delegate reminders
Enable the confirmation email here, but let your appointment-reminder workflow own reminder timing (see the workflow SOPs) so logic lives in one place.
- 7
Book a test appointment
Use the booking link yourself end to end: correct slots shown, confirmation received, event on the connected calendar, contact created with the right tags.
Do it with Claude
Claude reads booked appointments in a range via the MCP (calendars_get-calendar-events) for daily briefings. Creating or configuring calendars is not in the MCP; use the Booking Calendar prompt in the library and Ask AI builds it.
Watch out for
- No minimum notice, so leads book calls starting in ten minutes.
- Availability set in the wrong timezone, offering 6 AM slots to everyone.
